GRANT APPLICATION:
2018-19 SCHOOL YEAR
HEARTS is thrilled to announce the opportunity for eligible applicants to apply for funding to create for visual and performing arts initiatives in the Port Washington School District and community. We encourage detailed, collaborative proposals across all art forms and grade levels and it is our goal to reach as many students as possible.
Please note HEARTS grant cycle will now coincide with the school year. This means you should apply for grants that will be completed between September 2018 and June 2019. In addition to making it easier for teachers to plan, this also puts us on the same grant cycle as The Ed Foundation, allowing our organizations to work more collaboratively. Applicants may apply to both organizations. Please indicate that you are doing so in the appropriate section on the application (other funding sources).
Some of our most popular grants have been after-school programming such as Curtains Up and Afternoon Artists. This year, HEARTS would love to launch another after-school program. Longing to create a film festival? Wishing there was a place for creative writers to express themselves? These programs are yours to dream up! Please reach out to us if you have ideas that we can help make a reality.
Previous applicants and grantees may apply for grants again. We cannot, however, guarantee programs that have been funded multiple times in the past will be chosen again.

ELIGIBLE APPLICANTS INCLUDE:
- Teachers and/or Administrators
- Students and student organizations*
- Parents and parent organizations*
- Community members*
- Non-profit organizations (must be a 501(c)(3))*
* We are able to award grants to individuals or non-profit organizations that operate programs outside of the school district on a limited basis only. If as an individual or non-profit, you would like to bring a grant to a school, you must partner with an administrator and/or teacher working in the Port Washington School District to sponsor and support your project. The partnering teacher or administrator must provide their signature on the School Authorization Form. If you need assistance with this, please contact HEARTS.
ALL PROGRAMS MUST:
- Support the mission of HEARTS
- Establish a partnership with a school and teacher/administrator
- Impact a substantial number of young people attending Port Washington schools
- Have a clear purpose and detailed objectives
- Have a detailed and realistic budget proposal and timeline
- Explain expected outcomes as well as methods to measure and report on such outcomes (i.e. end product/performances)
WE ENCOURAGE PROGRAMS THAT:
- Involve collaborative work across mediums, school departments, grades, subjects
- Are interactive and involve students in a "hands-on" experience
- Impact the greater community of Port Washington
GRANTS MAY BE USED FOR:
- Creation of new, unique and innovative programming
- Support or growth of existing programming
- Equipment, field trips and performances (on a limited basis)
- Teacher salaries (as it relates to program being applied for)
- Scholarships for low income students
GRANTS MAY NOT BE USED FOR:
- Staff training
- Research
- Supplies, equipment, field trips and performances already funded by Board of Education
REVIEW AND NOTIFICATION PROCESS:
HEARTS’ Board of Directors will evaluate and vote on all applications based on their merit and meeting criteria. Most grants will range from $500-$3000. It is our goal to fund a varied selection of mediums and age groups in each grant cycle.
In addition, if the program is school-based, a copy of the application is given to the school district’s Director of Creative Arts for review prior to the Board’s vote. The Director of Creative Arts provides HEARTS with feedback on the feasibility of the program and allows us to prevent duplication of funding or programming. The Director of Creative Arts, however, does NOT vote on the applications and is NOT a member of the Board of HEARTS.
Applicants will be notified of a decision in writing by the end of May 2018.

OBLIGATIONS OF THE GRANTEE:
- Funds must be used for the purpose described in the application.
- Funds must be used during the approved time period described in the application.
- Any changes in the scope, timing, and location of the grant must be approved by HEARTS prior to its start date.
- Students and parents must be informed in writing that their program has been funded by HEARTS.
- All grantees must be prepared to meet or speak with a member of the HEARTS’ program committee to assess progress and address any issues or challenges.
- All grantees must agree to allow a HEARTS representative to visit and photograph the funded program and any events and/or performances. Grant recipients must ask all participants to sign a photography release for publication.
- Upon completion of the grant, the grantee must fill out an evaluation form (provided by HEARTS) as well as provide any agreed upon final documentation, pictures etc.
- Grantees may apply for a grant more than once but we encourage repeat applicants to reach out to HEARTS first.
- If possible, grantees will showcase their students' work at PortFest in May of 2019.
